NextGen Upfitters needed a way to respond to a growing volume of enterprise procurement opportunities without scaling proposal headcount linearly. Each RFP required deep research, careful requirement analysis, and structured drafting under tight deadlines.

Problem

Organizations spend significant time manually researching and responding to procurement bids and RFPs. Information lives across public sources, internal docs, and prior responses, and stitching it together by hand is the slowest step in the pipeline.

Discovery & Research

Mapped the existing bid workflow with proposal leads and SMEs. Cataloged where time was actually spent, research, requirement parsing and narrative drafting, and identified the steps where AI assistance would compound rather than just shave minutes.

Strategy

Framed the product as an AI pipeline rather than a single chat interface: ingest the RFP, extract structured requirements, run targeted research, assemble context, and generate draft responses section by section. Each stage exposed editable artifacts so reviewers could intervene without re-running the whole pipeline.

Challenges

Balancing AI autonomy with reviewer trust: drafts had to be useful enough to accept, while every claim and number stayed traceable back to a source the proposal lead could verify.
